Choosing cheap software is the fastest route to a failed investment that generates a mountain of hidden costs instead of savings. A comprehensive ERP system implementation requires precise analysis to avoid issues with data migration, low performance, or security gaps. Discover the real costs of an ERP system and learn how to accurately assess price-to-quality ratios to ensure unlimited scalability for your company. Don’t let superficial savings block your business growth and expose you to costly, unplanned licensing expenses.

Are cheap ERP solutions cost-effective?

Of course, it all depends on what we define as a “cheap ERP solution.” Generally, all systems of this type follow their own rules, and we must be prepared for expenses related to:
  • licensing fees,
  • personalization and additional functionalities (if needed),
  • number of users – often, beyond a certain threshold, we must pay for additional licenses,
  • integrations with existing applications,
  • data migration,
  • employee training,
  • testing,
  • upgrades – which, contrary to appearances, are crucial; without them, you may find that your version of the ERP system is no longer supported by the vendor or stops working correctly, leaving you unable to fix emerging errors.
There is a lot to consider, but when taking into account the reduction of tedious manual work and the future savings that a good ERP system tailored to our needs will bring, the money will pay off. The only question is whether our company can handle this investment while waiting for a return, and whether it truly needs it. The key phrase here is “ERP tailored to our needs,” because there are many systems to choose from, and each is different. Most are useful in large and medium-sized enterprises, especially in sales departments and in production, although there are, of course, Business Management Systems that support smaller organizations. If we are a company looking for an ERP, we are likely already aware that a comprehensive system is needed in our environment and will significantly facilitate our work. Cheap ERP solutions may therefore prove insufficient. They may lack options for feature personalization, have too few logistics solutions, or fail to handle the multitude of data we want to process and utilize. This will only lead to frustration and losses caused by investing in an application that does not meet our expectations and does not support company growth the way a more advanced ERP could.

Hidden costs in cheap ERP systems

Following the path of a larger company that chooses cheap ERP solutions, we reach a point where the system is already implemented, but it turns out it does not meet our needs, resulting in a failed implementation. The hidden costs of cheap solutions are masked by:
  • lower quality,
  • higher maintenance costs generated by frequent failures,
  • poorer performance,
  • limited features and low scalability,
  • additional licenses or paid support,
  • poor interfaces, which also lead to greater training needs and user frustration,
  • compatibility and integration issues,
  • increased risks related to data security.
The listed drawbacks of cheap ERP solutions ultimately lead to higher costs, which often cannot be recouped due to the inability to integrate or adapt functions to the actual needs of end-users.

Benefits of investing in advanced ERP solutions

A long-term strategy and investment in advanced ERP solutions will certainly ensure a successful ERP implementation in the organization. The benefits of a well-conducted analysis and the selection of the right ERP system for our enterprise will ensure the investment pays off, and we will feel the immense support of the ERP in our daily work:
  • more accurate forecasts based on precise, monitored, and organized data,
  • better management of documents, customer databases, and/or production,
  • time savings through the reduction of manual, repetitive tasks,
  • error reduction through automation,
  • easier access to data across the entire enterprise,
  • ease of reporting, which influences better business decision-making,
  • higher data security and protection against external attacks.

What tragic things can happen when we look for savings on ERP systems

Taking the above benefits into account, we might wonder what the worst-case scenario is if we choose a less suitable and significantly less advanced ERP system option. Data security is currently a paramount topic in most organizations. Hackers are constantly coming up with ideas for cleverly orchestrated attacks on systems – naturally, the less advanced and more flawed the system, the easier it is to find its weak points. This leads to a significantly increased risk of losing that data, which in turn is associated with leaks of secret information important to the company and, for example, customer personal data, which can even end up in court. Another risk associated with choosing a cheaper and weaker ERP system is the mismatch with the organization’s and business’s needs and the inability to personalize functions. This will directly translate into high financial losses because the chosen ERP will not help us with optimizations as we previously assumed, but will instead cause higher expenses that will seriously burden the company.
