For example, when a policy expires, the right software (with access to the customer database and dates of relevant documents) can send a prompt containing such information as a phone number an email address to a person who can provide assistance with further formalities. Since employees no longer need to supervise the process, there is no risk of them forgetting to contact service users due to being distracted by other tasks.
