Business Process Automation: A Way to Improve Customer Quality of Life

Business process automation, or RPA, opens many doors that were previously closed to companies with active marketing, sales, HR, support, logistics, transport, and other departments. Automating repetitive tasks with robots that imitate human work increases business flexibility, productivity, and operational accuracy while helping organizations save time and, consequently, money. All these benefits of RPA implementation also translate into better service quality and greater satisfaction with customer service, directly improving customers’ QoL—Quality of Life.    

Why is customer QoL important?

  Let us first answer the question: what is customer QoL—Quality of Life? The phrase quality of life is self-explanatory, but how does it apply to the business world? Professional approaches to customers are certainly changing. In today’s world, our product or service must have a real, positive impact on the buyer’s satisfaction; otherwise, whether they return and buy from us again is uncertain. Customers must see genuine value in what we offer them. Identifying and responding early to potential problems that may negatively affect our customers’ QoL will help us maintain high quality and prevent an increase in the customer churn rate. We must remember that even if someone buys the products we offer, this does not mean they are completely satisfied with them. Customer satisfaction may remain high for a while, but we cannot rest on our laurels and assume that it will always stay that way. Customer expectations change over time and usually grow, while competitors are not standing still and are developing ever-better offers. If we do not want to wake up one day to find that customers are leaving without knowing why, we must act proactively and take care of the quality of our services and, in turn, our customers’ quality of life. That is why QoL matters in the professional world: if we ignore it, we can easily lose the trust of people who might otherwise become long-term customers and, as a result, lose a great deal of business.  

How can you identify problems with customer QoL?

  One of the most logical methods is simply to ask customers what they think about the quality of our services and how satisfied they are with the products we offer. The point already mentioned is important: we cannot do this only after the fact, once a customer has already left. We need to focus on prevention and conduct customer-satisfaction surveys regularly—for example, every six months if customers are subscribers or use our services continuously. For one-off purchases, customers should have the opportunity to answer a few questions after the sales process ends—ideally immediately afterward and, optionally, again after a month or two. The questions in such a survey must be well considered and address what we genuinely want to learn. We should ask about every point of contact between the customer and our company and the people serving them, about the individual stages of the sales process, and finally about the product itself. It is best to be specific so that any nuances can be captured. Admittedly, frequent surveys can discourage customers from responding, so we can also adapt the survey length to the appropriate stage of our relationship—using a very short survey on one occasion and a more extensive one on another. The important thing is to ask questions skillfully so that we can identify problems with customer QoL: their satisfaction and their sense that our offer genuinely helps them in their endeavors, their lives, or their own businesses in the case of B2B. Less direct ways to identify potential QoL problems include market research, comparing reports, and generally paying closer attention to competitors’ branding trends. If we observe new activities or a shift in the direction of companies similar to ours, we can investigate the issue more closely and adapt our offer to what is happening in the wider context, not only among existing customers—as is the case with surveys, which are usually sent to people who already know us and buy our products. Some sectors, such as IT, have associations in which representatives of different companies regularly exchange insights. Naturally, these are not details critical to the operation of specific organizations, but the organizations support one another and analyze market trends together.  

How can RPA help improve customer QoL?

  RPA applications can be found in every department where human employees manually perform repetitive processes that can successfully be automated. In Poland, a growing number of forward-thinking business owners are taking this step because they see tangible benefits in “freeing” employees’ capacity and redirecting it toward more creative work. This is also a very positive change for employees themselves, who no longer feel that their work is monotonous and uninspiring. Their employee experience and QoL also increases—there are no losers here. When it comes to increasing customer QoL, we must first and foremost respect their time so that they can spend it on activities other than trying in vain to reach customer service or buying products that ultimately fall short of their expectations, even though they could have met them had we gathered the right feedback. If we take care of every detail in the purchasing process and look after customers, they will feel more at ease and more satisfied with our services, which will translate directly into higher QoL. Using RPA in customer service makes it possible, among other things, to significantly improve the quality of the customer’s first contact. Reducing the number of interactions and the response time saves both the customer’s time and ours. This has a positive impact on satisfaction rates and reduces the number of potential errors while also lowering the risk that the customer will become discouraged and stop using our services. Automated chatbots are one example of a tool that can be used for this purpose. Customers are more willing to use quick self-service options when they are properly prepared, thoughtfully designed, and genuinely helpful in answering their questions. Marketing and sales also have much to gain from automation and the introduction of Robotic Process Automation. Robots and advanced ML (Machine Learning) and AI (Artificial Intelligence) algorithms make serving customers much easier and, at the same time, better tailored to potential audiences, increasing the likelihood of meeting their needs and completing a sale. RPA enables better customer segmentation and makes it possible to tailor products to individual needs. It also helps companies understand potential customers better—for example, how they navigate our websites, what they click, and in what order. With this knowledge, we can tailor not only products but also marketing materials and content more effectively. This makes it much easier for customers to find the information they need and simplifies their lives, thereby increasing QoL. Another good example of RPA as a QoL enhancer is the greater ability to protect customers’ personal data. Unfortunately, where people work without automation, there is also a risk of data leaks and mistakes that robots can successfully eliminate. Of course, we must not forget that RPA cannot operate without supervision. It should be used by properly trained employees who understand security principles, the GDPR, and other security requirements—this professional combination will protect us against potential breaches and data leaks.   Business process automation is a natural step toward full digital transformation.
